Setting and editing notifications

 

Notification types – event description

  • New unit – sent when a new unit is created.

  • Role assigned in a unit – sent after a role/function is assigned within a unit.

  • User revoked consent – sent when consent is withdrawn by the user or by an administrator.

  • Registration link expired – sent when the user’s registration link expires.

  • Registration request – sent when a new pending request appears in the unit (registration via the public registration link).

  • Personal growth request – sent when a new record for a person in the unit (Program, Education, Award) is created and requires administrator approval.

ℹ️ Note: The “Always” frequency (immediate delivery) is not available for the “Registration link expired” notification.

Email format and parameter usage

For each notification type and selected delivery frequency (Always, Daily, Weekly), the format of the outgoing email can be customized using available parameters (see the legend).

For the Every Time frequency, there are no restrictions on which parameters from the legend can be used — all available parameters may be included in the email template.

ℹ️ Note: The legend lists all available parameters and their meaning. Each parameter represents a specific piece of information automatically inserted into the email (e.g., unit name, user name, date of change, etc.).

 

Parameter limitations for Daily and Weekly notifications

For the Daily and Weekly frequencies (i.e., for digest notification emails), the use of parameters in the email body is limited to:

  • #FIRST_NAME# – the recipient’s first name,

  • #LIST# – a list of records in a predefined format that cannot be modified by system users.

⚠️ Warning:
No other parameters from the legend can be used in digest emails. The format of records in the #LIST# parameter is fixed by the system and cannot be customized.

 

A user receives these alerts only if they enable them in their profile under the Notifications tab.
Notification settings are available only to users who have an assigned role in at least one unit.

Notifications apply only to actions within units (including their sub-units) and to persons’ actions in those units where the user has assigned roles.

ℹ️ Note: If the user has no role in a given unit (or its sub-unit), they will not receive notifications from that unit.

⚠️ Warning: Auto-enable applies only to notification types explicitly configured as “auto-enable by role” in the administration settings.
