Improvements and New features of system Tee-pee
PEOPLE SECTION
- New filter: Active/Inactive people (the term „unassigned“ (when a person did not belong to any Unit) has changed to „inactive“). In the People section in the sidebar menu, the filter is pre-set to show the „active“ members.
EVENTS
- New option to Hide the Event section: When the Event section is deactivated, all the links from this section eg. links to concrete events, a list of all events, will not be active. Once the Events section is turned on again, all the links will get active as well.
REPORTS
- New permission for accessing the Reports section. Without this permission, the users will not see the Reports section.
- Extended filtering options (in filter selection)
- New columns to show in Reports (depending on the settings in Administration)
- Modifying the records displaying: after clicking on the Reports section (for People or Units) there are no records displayed. All the filters and column selection are off. The User selects the filer and columns they want to display.
- Modifying the report´s exporting: the Export button allows you to export displayed data to a .xls file. This button will show only when the export will contain max. 1000 rows worth of data. Narrow your search to export it to Excel.
PERSON´S PROFILE
- New Action: Termination of membership in the organisation – the person will become inactive (previously called ''unassigned“). All the memberships in the Units, all the Functions, and User Roles will be terminated and the tee-pee account will get blocked. This action is available only when terminating membership in the Unit where a person has a primary membership (read more below in People in the Unit)
- New Action: Restoring a person – possible when a person is „inactive“. The person is restored when they are assigned to the Unit.
- The system displays next to the person´s name the name of the Unit where a person has a primary membership.
- Consents for processing personal data moved from Profile´s Data tab to the GDPR tab with additional functionalities for processing Consents (read more below in Setting)
- New Disabled (NS status) and Member to fields in Data tab
- New First address line (permanent address) field in Contacts tab
- New Membership history section in the Membership tab
- New tab Legal Guardians
- New Notifications options: User registration link expires and User revokes the consent
- Option to display the Settings tab and its selected section: Change of email address (registration email) according to permission for the profile of other users.
TEE-PEE USER ACCOUNT
- The option to „Invite to Tee-Pee“ from a person´s profile is tight with permission „ Create/Invite to the system“ (People under Unit)
- It possible to Invite a person to Tee-Pee only when the person is active“-
- The tee-pee account will get blocked when a person was terminated. After Restoring action the Tee-Pee account will restore as well but it will be in the Blocked status – the administrator needs to unblock them.
UNIT PROFILE
An update for Unit termination:
- Terminated Unit can’t be moved (the action „Move Unit“it is not available)
- It is possible to move an active Unit only to another active Unit
- It is not possible to terminate a Unit that has active subunits
- It is not possible to add or move a person to a terminated Unit
- It is not possible to add people, subunits, or functions
- When a Unit is terminated, the following records are terminated as well: person´s membership (depending on person´s allocation in this Unit, there is an option of terminating the Unit on the organisations level or just normal membership termination), Functions and User role.
An update for Unit deleting:
- Units that are not bound by any other entities (eg. memberships, memberships of deleted people, event, roles...) can be deleted entirely from the system. If there are any
- Only a Unit without subunits can be deleted
An update about the Unit´s statistics:
- The number of people/members/registration fees is now shown after clicking on an information icon „i“ on the top right corner
An update about People in the Unit:
- Allocation / Primary membership – Primary membership can be assigned only to one Unit. New functions that came with this primary membership are: „Move“ and „Terminating membership in the organisation“. Every active person can have an allocation in only one Unit (a blue house icon appears next to the Unit name), but the person can have an unlimited number of memberships in other Units.
- On the Unit level, where a person has the primary membership, is possible to Terminate a person´s membership in an organisation (the action is the same as terminating a person´s membership in the organisation through their profile)
- „Normal“ membership in the Unit (where a person does not have a primary membership) works the same as in the previous version. The termination action, in this case, terminated the membership in the Unit, but the Unit functions and User roles are preserved. A person can have an unlimited number of Unit memberships.
- The actions „Terminate membership“ and „Terminate membership in the organisation“ are available only from the Unit level, where a person is a member of. These actions are not available from the superior Unit level (the person is only listed there)
- The action „Move“ is available only from the Unit level, where the person has the primary membership
- The action „Update payment“ was added to Bulk actions – possibility to set if the person has paid the membership fee (it is shown in a person´s profile, in the Membership tab)
An update in the Unit Functions:
- Showing the future roles in the Functions´ list
- The functions´ termination date will be shown when editing only when the Function was terminated by „Terminate“ action
An update in the Registrations:
- A possibility to change the fee type by bulk when creating a new registration – a step of selecting registration fees
- Creating a new registration (choosing Fee type step) – automatic feed with fee type dedicated for disabled people (if the registration contains a person with the NS status and in the Administration / Fees is set the NS fee)
- Users with permission to „Approve“ and „Deny“ the registrations in the Units can do approve or deny registrations in the „submitted“ status anytime
- New fields in Unit Profile: NS status (in Data tab), First address row (Contacts tab)
ADMINISTRATION
Settings
- New General setting – Show members only from the current Unit (When the option is ON, users see only members from the currently displayed Unit. When the option is OFF, users see people from the currently displayed Unit and its subsidiary Units)
- New Email type – User revoked consent
- New parameter - Parent details removal age – the age a user needs to reach in order to edit and add Legal Guardians
- New tab – Personal Data – a possibility to set up what tabs can a person see in their own Profile and which of them would be possible to edit.
- New tab – Unit data – a possibility to set up what tabs are visible for a person in the Unit's profile
- New Email type – User revoked consent
- New Administration of Consents in the GDPR tab – it is related to forms, the GDPR tab in person´s profile, with NS status and Legal guardians
- New Notification types – New consent are available and the User registration link expired
- New permissions related to the new functionalities
Membership
- Membership fees – possibility to set a membership fee type for people with disabilities (with NS status)
Events
- Possibility to hide the Events module
Forms
- The fields that are set to not visible in the Administration are not available in the forms
- A new section with the Unit name
- New Legal guardian section in the forms when the age of a person is lower than the Minimum system age
- Consents and NS consents
